1. Who we are and what this covers
This policy explains what personal information Kytran Empowerment Inc. (“Kytran Empowerment”, “we”, “us”) collects, how we use it, and the choices you have. We are based in Montreal, Quebec, Canada.
It applies to our website (kytranempowerment.com), the A.R.C.H.I.E. platform and our related products, and to the Google sign-in and Google API connections used by our applications. On Google’s consent screen these appear under the name “A.R.C.H.I.E.”.
Our person responsible for the protection of personal information is our President, who can be reached at the contact details in section 14.
2. Information we collect
- Information you give us: messages you send through the contact form or by email, account and membership details, and order information.
- Usage information: if you accept cookies, we use Google Analytics (with IP anonymization) to understand how the website is used. If you decline, analytics stay off.
- Technical and security logs: such as IP address and request details, kept to run and protect the service.
- Information from a connected Google Account: only if you choose to connect one, as described in section 3.
3. Google user data
If you connect a Google Account, we ask only for the permissions listed here. We use them to provide the features described below.
- Basic profile (openid, email, profile): to identify the Google Account you connect and sign you in.
- Google Drive: to list, read, create and delete files and folders from the platform’s Work Suite when you, or an assistant you have configured, ask us to, and to store and retrieve backup files created by our backup system.
- Google Calendar: to show, create, update and delete calendar events when you, or an assistant you have configured, ask us to.
- Gmail (read/modify and send): to let you read, search, organise, draft and send email from the platform’s email tools and, where enabled, to power the Memory features described below.
Memory features. When the Memory features are enabled for an account, we read message content in the background and use AI models running on our own systems to extract facts about you and the people you correspond with, such as names, email addresses, roles, organisations and recurring topics. These facts form a private profile that helps us assist you. They are stored on our systems, are not sent to third-party AI providers, and can be removed as described below. You can also choose to file individual emails to our knowledge base; they are stored there only when you do.
Backups. Our backup system encrypts its archives on our own systems before upload, so Google receives only encrypted files. Backups can contain information held on the platform, which may include personal information of people who use or are served by our services. On Google Drive we keep only a short rotating set: the most recent database backup and a limited number of weekly and monthly archives. Longer history is kept on our own systems.
How we handle Google user data:
- We do not sell it, and we do not use it for advertising.
- We do not allow people at Kytran Empowerment to read it, except with your consent, to investigate abuse or security issues, or where the law requires.
- Access and refresh tokens are stored in encrypted form and are used only to access your Google Account for the features described above.
- We do not use it to develop or train AI models.
- Facts extracted from your email stay on our systems and are used only to assist you.
Kytran Empowerment’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
You can disconnect at any time from your Google Account permissions page (myaccount.google.com/permissions) or inside the platform. When you disconnect, we stop using the connection and delete the stored tokens, the cached email data and the facts extracted from that account. Contact records built from your email are deleted on request at the address in section 14.
4. How we use information
- To provide, operate and support our services.
- To keep the service secure, prevent abuse and troubleshoot problems.
- To process orders and memberships and to communicate with you about them.
- To meet our legal obligations.
5. AI processing and automated decisions
The A.R.C.H.I.E. platform runs its AI agents primarily on infrastructure we operate. Cloud AI providers are used only with approval and only for certain kinds of tasks, such as code, creative writing and image or video generation, and never for the content of your email.
We do not make decisions about individuals based exclusively on automated processing, except that access to a paid plan changes automatically when a payment succeeds or fails.
6. Sharing
We share information only with service providers that help us operate: Hostinger (web hosting and disaster-recovery servers), Google (when you connect your account), Telegram (operational notifications to our administrators), Stripe (payment processing) and Printful (order fulfilment). We also share information when you ask us to, to comply with the law, or in connection with a business transfer. We do not sell personal information.
7. Where information is processed
Our primary systems are located in Montreal, Quebec. Our disaster-recovery site and a regional server are hosted by Hostinger in Boston, United States, and our website is hosted by Hostinger. Google processes data for connected accounts. Information may therefore be processed outside Quebec and Canada, where privacy laws may differ.
8. How long we keep information
We keep personal information only as long as needed for the purposes above or as the law requires. Operational job records are kept about 45 days, queue records 30 days and governance audit records 365 days. Contact messages are kept in our mailbox for up to 24 months. Order records are kept for 6 years to meet tax obligations. Google connection tokens are kept until you disconnect or we remove them. Backups follow the rotating schedule described in section 3 and are then deleted.
9. Security and incidents
We use technical and organisational safeguards, including access controls, encryption of backups and stored credentials, and monitoring. No system is perfectly secure.
We keep a register of confidentiality incidents. Where an incident presents a risk of serious injury, we notify the Commission d’accès à l’information du Québec and the people concerned, as the law requires.
10. Your rights
Under Canadian and Quebec privacy law you may ask to access or correct your personal information, withdraw your consent, or request deletion where the law allows. Email us at contact@kytranempowerment.com and we will respond within 30 days. You may also complain to the Office of the Privacy Commissioner of Canada or to the Commission d’accès à l’information du Québec.
11. Cookies and analytics
The website asks for your choice before enabling analytics cookies. You can accept or decline in the cookie banner, and your choice is remembered in your browser.
12. Children
Our services are intended for businesses and adults and are not directed to children under 14. We do not knowingly collect their personal information. If you believe a child has given us information, contact us and we will delete it.
13. Changes to this policy
We may update this policy. We will change the date at the top and, for material changes, tell you in the service or by email.
